01. The Challenge

Digitizing and Scaling an Extensive Manual Process

The situation: Before this proof of concept, a Fortune 100 company handled compliance reporting for more than 100,000 employees by hand. Every meal, gift, and event went onto a long form. The process was slow, error-prone, and every mistake carried reputational and regulatory risk, including fines and penalties.

02. The Strategy

Utilizing AI Where It Earns Its Place

Conversational reporting

Instead of a form, a conversation. Employees report a meal or event by chatting with an assistant in the web app, or by replying to a text. Long handwritten forms became sixty-second exchanges.

Nine essential fields, captured naturally

We mapped exactly what compliance needed: nine data fields. The assistant asks for them in plain language and fills the record as it goes, so nothing required is left blank.

Built into the systems already there

The assistant writes to the organization's existing databases and processes. No new system to learn, no second place where compliance data lives.

Accuracy as risk mitigation

Structured capture and real-time validation cut errors and omissions, keeping the organization compliant with state and federal political-contribution rules.

Adoption without training

A mobile-first, text-based interface meant employees at every level of technical comfort could use it on day one, which is what made the time savings real.

03. The Solution

Efficient and Accurate Compliance Reporting

A text-enabled AI tool built on a large language model trained for compliance conversations. Employees submit reports by text or chat; the assistant captures the nine required fields, validates them, and writes them into existing systems in real time.

Reporting time went from about eight minutes to under sixty seconds. Errors fell, adoption was immediate, and the compliance team gained live visibility instead of a paper backlog.
